How It Works

What the first two weeks actually look like

No hardware, no phone system migration, no six-week implementation. Here is the real sequence, day by day.

Day 1 — Kickoff call (45 minutes)

We map how your front desk actually works

  • Your providers, credentials (MD/DO vs NP/PA), and which visit types each one takes
  • Appointment durations, buffers, telehealth vs in-person rules, and same-day slots
  • After-hours policy: who is on call, what counts as urgent, and what waits until morning
  • Your escalation contacts and the practice manager who receives sensitive messages
Days 2–5 — Configuration

We build and tune your clinic's agent

  • Your scheduling rules, triage thresholds, and provider routing logic are loaded in
  • Identity verification is set to your standard (two-factor, three attempts, then staff handoff)
  • SMS templates for confirmations, reminders, and document uploads are branded to your practice
  • You get a staging number to call and test the agent as many times as you want
Days 6–10 — Supervised go-live

Start with after-hours, then widen

  • Most practices route after-hours and overflow calls first — zero risk to daytime operations
  • Every AI request goes to the review queue; your staff approves or overrides each one
  • We monitor transcripts daily and tune wording, routing, and triage thresholds with you
  • When you're comfortable, forward your main line during business hours too
Week 2 and beyond — Steady state

Your team works a queue instead of a phone

  • Front desk starts the day with a queue of drafted requests instead of a full voicemail box
  • Monthly review of call volume, triage accuracy, booking rate, and no-show flags
  • Rule changes (new provider, new location, holiday hours) are same-day edits, not projects
  • Full audit trail of every AI decision is retained and exportable

The three questions every practice owner asks

Do we need to change phone systems?

No. You forward a number. Your existing carrier, hardware, and desk phones stay exactly as they are.

Who answers if the AI can't handle it?

After three failed identity attempts, or any emergent triage tier, the call transfers to your staff or on-call line immediately.

How much staff time does setup take?

One 45-minute kickoff call, plus roughly 2–3 hours of review spread across the first week.
